Inventory
Stock → Inventory lists every product variant that tracks stock, with its counts at one place at a time.
What this is for
- Spotting what is low or sold out before shoppers do.
- Correcting a count after you counted the shelf.
- Adding stock that arrived outside a purchase order, or writing off something damaged.
- Knowing what your stock is worth at cost.
What the numbers mean
| Column | Meaning |
|---|---|
| Available | What you can sell right now. |
| Committed | Reserved for orders that are not packed yet. |
| Incoming | On a purchase order or transfer that has not arrived. |
| On hand | What is physically there. |
The top has four tiles: SKUs tracked, Out of stock, Low stock (5 or fewer available) and Stock value (what is on hand, at cost). The tabs All SKUs, Out of stock and Low stock filter the list. You can also filter by Stock, Vendor and Product type, and search by name or SKU.
Change a count
Pick the place
Use Location at the top if you have more than one. Counts are per place. The place marked Online orders is the one your online store sells from.
Pick a reason
Reason for edits is Correction, Received, Damaged, Returned or Theft or loss. It is saved with the change so the history makes sense later.
Change the number
In the Available column press − or + to add or remove one, or type a new number. You will see a short message such as “Glass mouse pad: 12 available”.
To change many at once, tick the rows and choose Adjust by (add or remove the same number from each; use a negative number to remove) or Set on hand to (every ticked row gets this count). Add a Note if you like.
Select Stock history on a row to see every change: who, when, how many and why. Export downloads the list as a CSV file.
To receive goods from a supplier, use a purchase order instead of typing the new number. Then the product’s cost updates too.
Add a place
Select Add location to add a warehouse, shop or partner: name, address, state, PIN code and phone. Its state decides which GST number it bills under. A new place does not sell online until you turn on Ships online orders for it. See Locations & warehouses.
Common problems and fixes
| Problem | Why it happens | Fix |
|---|---|---|
| A product is missing from the list | Track quantity is off for it. | Open the product and turn on Track quantity under Inventory. |
| The number I typed went back | You may not have permission to change stock. | Ask the owner to give your role the inventory permission. |
| Available is lower than On hand | Some units are Committed to orders you have not packed. | Pack the orders and the numbers meet again. |
